Initial Situation / Problem:

The existing supplier master data management system, exhibits several issues, including faulty data transfer, non-functional workflows, and limited export capabilities.

Solution

A replacement system is being sought for 2024 that takes into account the current process for entering supplier master data. Scenarios for decision-making regarding the project start will be outlined. The new architecture must also be integrated into the new IT landscape.

Project Goal(s):

The introduction of a master data management system and the replacement of the old system, which is connected to three SAP systems: 1x S/4HANA and 2x SAP ECC systems. The new system must therefore be connected to 1x S/4HANA (private cloud or internal) and 2x SAP ECC systems. The new system must generate a supplier number and distribute the data into the correct target systems, dependent on General Data, Purchasing Organization Data, and Company Code Data.

Scope of Services / Performance Description:

Cross-Phase Activities:

-Coordination of project participants and stakeholders

-Creation and continuous updating of the project budget plan

-Creation and continuous updating of the project schedule, considering the start of the SAP Elevate project (S/4HANA) 

-Management of the tender/request for proposal (RFP) process in coordination with Purchasing, Vendors, IT, and the Business Department so that a basis for decision-making can be established

-Reporting on project status / tender status

-Representing the results and concerns of the current project in meetings, working groups, and committees

-Organization, moderation, and follow-up of project meetings, workshops, and events

-Creation and preparation of status presentations and decision papers/templates

-Conducting complex and comprehensive risk assessments

Requirements Management:

-Analysis of the specialist/functional requirements, taking into account the project goal

-Analysis of the proposed solution sketch for feasibility

-Support in creating the requirements catalog, particularly the technical requirements

-Evaluation of vendor proposals

-Compilation of a comprehensive document that makes the requirements and the solution concept comparable

-Selection of the IT technology platform and analysis of the use of SAP BTP (Business Technology Platform) in relation to the master data management requirements

-Creation of the Project Charter

Compilation of all relevant information and requirements into a clear Project Charter

-Coordination for the approval of Quality Gate 3

-Preparation of the necessary documents for Quality Gate 3

-Tracking the approval process and documenting approvals

-Coordination of the Search for an Implementation Partner (Optional)

Creation of the content for a tender/RFP, taking into account the specifications of the Purchasing department

-Analysis of the proposals, taking into account the specifications of the Business Department Project Manager

-Coordination of subsequent phases

-Handover of the project to the responsible person

Other Requirements:

-Selection of implementation vendor

-Establishment of a solution architecture

-Knowledge in creating requirements catalogs

-Business Partner knowledge (SAP term for central data object)

-Supplier Master Data know-how

-Preparation of decision slides and submission of proposals

-Consultation with the Business Department

-Ability to present to management (clear and concise communication)

-Cloud knowledge

-Interfaces and interface systems (PI, CPI, etc. – e.g., SAP Process Integration / Cloud Platform Integration)

The Service Provider is expected to:

-Have successfully completed comparable projects.

-Pursue proactive approaches in service delivery.

-Possess comprehensive expertise with the intended project management methodology (see Section 2. Project Description).

-Possess IT expertise in Cloud (e.g., Kubernetes, Container), Interfaces (e.g., REST API, SOAP), basic knowledge of databases & languages (e.g., SQL), and basic knowledge of Artificial Intelligence.

-Possess industry knowledge in Operational Business, Purchasing, SAP core solutions, and Finance.

Special Requirements:

-Business Partner knowledge

-MDG (Master Data Governance)

-BTP (Business Technology Platform)

Start: 1st February 2026

Duration: 31st May 2026 + extension for upcoming project phases

Location: Remote with occasional onsite visits in Germany

Utilization: 8-10 days per month
